Victoria, Australia · 79 local government areas Worker Screening Act 2020 · sits beside the ERP

Service Victoria · WWCC status checker

A lookup. Not a workforce register.

The official Working with Children Check status checker is a lookup — single check, or a bulk CSV of up to 1,500 rows (family name, card number), file under 1 MB. It is not rostering, not labour-hire, not audit history, and not Employee vs Volunteer enforcement. KeepClear wraps that checker with reminders for people you roster. We do not scrape the register. We do not replace it.

Source of truth stays with Service Victoria, VIT and the NDIS Commission. Status on our board is computed from the expiry you confirmed.

Service Victoria checker KeepClear wrap
What it is Official lookup. Single card, or bulk CSV (cap 1,500). A clearance desk beside the ERP. Employees, volunteers and labour-hire as rows.
Expiry history One-shot answer at the moment you query. A clock: 90 / 60 / 30 / expiry, with a trail a P&C lead can show.
Organisation on record Does not remind you the council is missing from the worker’s file. Reminds when the Worker Screening Unit cannot notify because the organisation is not listed.
Do not start Will not roster-block a kinder casual on a pending application. Operational flag for interim exclusion, exclusion, interim bar, suspension, lapsed — and pending in early childhood (October 2025).
Card type Not a policy engine for Employee vs Volunteer. Paid child-related workers on Employee, not Volunteer. Cardinia and Shepparton already write this into careers copy.
Labour-hire / volunteers A list of names and card numbers you already have. First-class cohorts. The official CSV will not distinguish a labour-hire host from a volunteer cinema usher.

Wrap, never scrape

CSV around the official checker

How it works: import the people on the books from TechnologyOne, Aurion or Chris21. Confirm status through Service Victoria’s published checker. Alert the worker and the manager. We do not harvest the register, we do not cache a shadow WWCC database, and we do not sell a second source of truth.

Why a spreadsheet still fails

1,500 rows is a batch, not a product

A bulk file under 1 MB is useful the day you run it. It will not know whose Volunteer card expires in six weeks, whether the council is listed so WSU can notify, or that a pending kinder application is a stop under the October 2025 scheme. That is the unpaid-for layer.

Legal duty

Check before they start

Victorian organisations must check status before the worker starts; seeing the card is not enough. Organisations’ duties are published on vic.gov.au (updated 24 July 2026). KeepClear is software beside that duty, not a substitute for advice.

Not Rapid, not the ERP

Beside the tools you already bought

Rapid Global already covers contractor OHS at named councils. TechnologyOne, Aurion and Chris21 store a field. Neither is live Victorian WWCC for employees, volunteers and labour-hire. We sit in that gap. We do not clone Rapid. We do not become Service Victoria.

KeepClear does

  • Wrap the official single and bulk lookup
  • Keep expiry history the CSV does not keep
  • Organisation-on-record reminder
  • Do-not-start for exclusion / bar / suspension / lapsed / pending kinder
  • Employees, volunteers and labour-hire in one desk

KeepClear does not

  • Scrape or replace Service Victoria
  • Become a WWCC register
  • Become VIT, the NDIS Commission, Ahpra or myWorkSafe
  • Replace TechnologyOne, Aurion or Chris21
  • Clone Rapid Global’s contractor product
